Sales & lead capture

WhatsApp chatbot template: lead qualification

Enquiries arrive at 11pm and most are not serious. This asks the three questions that separate the two, writes them to the contact, and only then puts a human in the room.

The goal

Turn a cold enquiry into a qualified, routed lead before anyone on your team spends a minute on it.

The flow, node by node

Message copy
  1. Send message

    Acknowledge immediately

Thanks for getting in touch. Three quick questions so I can put you with the right person.

  2. Buttons

    Budget band

Bands, not a free-text number. People will tap a range and refuse to type a figure.

  3. List menu

    Locality or category

A list of the areas or categories you actually serve, which also filters out enquiries you cannot help.

  4. Buttons

    Timeline

This month / next quarter / just looking. The single most predictive answer, and the cheapest to collect.

  5. Set attribute

Write all three to custom fields

Fields, not notes. A field can drive a condition, a segment and a report; a note cannot.

  6. Condition

    Qualified?

Branch on budget and timeline together. "Just looking" with any budget goes to nurture, not to a salesperson.

  7. Hand off to a human

Qualified → route to an agent

With the full transcript attached, so nobody re-asks what the bot already asked.

  8. Hand off to AI

Not yet → hand to the AI agent

It answers their questions from your material and keeps the conversation alive without occupying a person.

Where this usually goes wrong

  • Asking five questions instead of three. Every extra one loses people, and only the ones that change what you do next are worth the drop-off.
  • Routing everyone to a human. If the bot qualifies nobody out, it has saved you nothing.
