WhatsApp chatbot template: course enquiry

Every intake brings the same questions in the same order, from hundreds of people at once. The flow narrows to a course, then hands the detail to an agent that has actually read your prospectus.

The goal

Answer the standard questions and record where each applicant got to.

  1. Send message

    Greet and narrow

Hi! Which course are you asking about? I can cover fees, eligibility and dates.

  2. List menu

    Course menu

Your actual courses, grouped by stream. This is also the answer to "what do you offer?".

  3. Buttons

What do you want to know?

Fees / eligibility / dates / how to apply. Four buttons covering nine out of ten enquiries.

  4. Hand off to AI

    Answer from the prospectus

The agent answers from your uploaded prospectus and fee structure, in the language they wrote in, rather than improvising.

  5. Set attribute

    Record course and intake

Two fields that make every later reminder targetable by cohort rather than blasted to the whole list.

  6. Buttons

    Ready to apply?

Apply now / talk to a counsellor / not yet. All three are useful answers.

  7. Set attribute

    Set the applicant stage

Enquired, form started, counsellor requested. This field is what lets you nudge only the people stuck at a step.

  8. Hand off to a human

    Counsellor requested → route

With course, intake and every question they asked already on the record.

Where this usually goes wrong

  • Letting the bot quote fees from its own memory. Point the agent at the fee document, and re-upload it when it changes.
  • Not recording the stage. Without it, deadline reminders go to everyone and the ones who already enrolled get chased.
